Guest Services Intern

The Philadelphia Cinema Alliance (PCA) annually produces Philadelphia QFest and Danger After Dark Film Festivals. The Festivals feature a mixture of American independents, foreign films, documentaries, and shorts. The Festivals are hosted annually, mid-July, with more than 25,000 attendees.

The Guest Services Team welcomes about 50 directors, actors, and other special guests per festival. We book their travel and accommodations, greet them at the airport, provide escorts to screenings and events, and generally play host. Behind the scenes, we work with representatives from our host hotels, coordinate events with other PCA staff, and manage appearances with venue volunteer staff.

The Guest Services Intern serves as an assistant to the Managing Director (MD). In addition to being delegated regular administrative duties and special projects, the Intern will often serve as the point person in lieu of the Director, working with guests, the Guest Services Team, other PCA staff, and patrons.

Schedule: Can be flexible. Ideally, internship will run:

  • 15-20 hours per week during regular office hours for 5 weeks preceding festival.
  • AND 40+ hours per week mainly weekends and evenings during 3 weeks of festival (run-up-to/actual event/breakdown).

Basic requirements:

  • Detail-oriented, hard worker with strong communication skills;
  • A combination of good organization and the ability to adapt and problem-solve on your feet;
  • Professional demeanor and enjoy working with a variety of people;
  • Good driving skills, knowledge of film, and foreign language are all preferable;
  • Knowledge of the internet and MS Outlook, Excel and Word is essential.
  • Training on filemakerpro database software will be provided.

Duties include assisting with:

  • Communicating with and coordinating guests, staff, hoteliers, and other sponsors;
  • Arranging transportation, accommodations, and itineraries for 50 guests (TBC)
  • Organizing pick-ups, registering guests, and orientating guests to the Festival and the city;
  • Managing in-town transportation, meals, festival schedules, and special event attendance;
  • Other guest needs and other duties as assigned.

Please note a valid drivers license and reliable mode of transportation is required as this job involves driving during the actual event. You will be provided with a parking permit for the duration of the festival in your capacity as guest services intern.

Print Traffic Intern

The Print Traffic Intern serves as an assistant to the Managing Director (MD). In addition to being delegated regular administrative duties and special projects, the Intern will often serve as the point person in lieu of the MD, working with filmmakers, production companies and festival venues.

Duties include assisting with:

  • Chasing, updating, monitoring and managing all aspects of incoming and outgoing print shipping.
  • Entering print traffic records to reflect incoming and outgoing details, particularly tracking numbers.
  • Contacting filmmakers/production companies/sales agents and distributors in advance of set deadlines by telephone/email/fax for incoming exhibition tapes/DVDs and 35mm film prints scheduled to screen across the 12-day event
  • Working alongside the MD to ensure that exhibition tapes/DVDs and film prints are shipped out of the office to their correct ongoing destination as scheduled following festival end.
  • Working alongside the MD to ensure that all the custom paperwork for FedEx is correctly completed.
